This Privacy Policy explains how we collect, use, and protect your personal information when you use the DeVito Band App ("the App"). We are committed to protecting your privacy and complying with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Collected Personal Data

To provide the functionality of the App for both Band Members and Fans, we collect and process the following personal data:

Identity Data: First name, last name, and display name. Contact Data: Email address. Technical Data: A unique User ID (UID) generated by the App, and your "Magic Link" authentication tokens. Usage Data: The date and time you joined, and a timestamp of your last interaction with the App. User-Generated Content: Any song suggestions, set list ratings, notes, chatter/gig duration edits, and chat/comment messages you submit to the App. Preferences: Your communication preferences (e.g., whether you have opted in to receive Magic Links or notifications via email).

Note: The App is hosted on Google's infrastructure (Google Apps Script / Google Workspace). Google may process standard connection data (such as IP addresses) strictly for the purpose of routing and security, in accordance with their own infrastructure privacy policies.

Purpose of Collecting Data

We use your personal data for the following specific purposes:

Authentication & Security: We use your email address to securely send you a passwordless "Magic Link" to authenticate your identity and log you into the App. App Functionality (Fans): To allow you to view set lists, submit your favourite tracks from recent gigs, and participate in the community chat. App Functionality (Band Members): To allow you to suggest songs, vote on repertoire, build set lists, and leave operational notes for gigs. Communication: To send you requested login links or, if you have opted in, relevant notifications regarding the band or the App. Integrity of Data: Your name is attached to your chat comments and song notes so that other users know who is speaking.

Legal Basis for Processing (UK GDPR): Our primary legal basis for processing your data is your Consent (provided when you register for the App) and our Legitimate Interests in running a functional, secure platform for the band and its followers.

Data Sharing and Storage

Your data is stored securely within Google Sheets and Google Workspace, acting as our database infrastructure. We do not sell, rent, or trade your personal data to third parties. Your display name and user-generated content (like comments or notes) will be visible to other authenticated users of the App (Fans and/or Band Members, depending on the section of the App). Your email address is kept private and is only visible to App Administrators (Band Members) for the purpose of account management.

Data Retention

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for. If you request account deletion, we will anonymise or delete your Identity and Contact data. Please note that for the operational integrity of the App, anonymised chat comments or song votes may remain on the platform even after an account is deleted.

Your Rights Under UK GDPR

Under UK data protection law, you have rights including:

Your right of access: You have the right to ask us for copies of your personal information. Your right to rectification: You have the right to ask us to rectify personal information you think is inaccurate or incomplete. Your right to erasure: You have the right to ask us to erase your personal information in certain circumstances. Your right to restriction of processing: You have the right to ask us to restrict the processing of your personal information in certain circumstances. Your right to object to processing: You have the right to object to the processing of your personal information in certain circumstances. Your right to data portability: You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you. Please contact us at the details provided in Section 1 if you wish to make a request.
